1. Can I use any points earned in the month I must recertify toward my next three year cycle or must they be used in the three year cycle in which they were earned? (i.e.: I recertify Apr 28 2006 but don't need the points I earned in April as I have already earned my 100 points. My next cycle will start Apr 28 2006 to Apr 28 2009. Can I put those points towards the next cycle?)

No, you cannot rollover any unused points to the next recertification cycle. All points must be earned within the three year period you are recertifiying in (i.e.: Apr. 28 2003 to Apr 28 2006, Apr 28 2006 to Apr 28 2009 etc.)

2. What is the rationale for limiting points earned through attendance at Chapter events to 10 points per year? Does this limit apply to any Chapter event even if some of the events I attended were presented by Chapters other than my home Chapter?

The limit is designed to ensure variety and breadth in the opportunities HR professionals choose for their developmental activities. This limit applies to any chapter seminar, breakfast meeting or dinner meeting regardless of whether it is through your home Chapter or not.

3. Do I understand correctly that conferences put on by the Chapters are excluded from this limit? Does this also apply to conferences and 1/2 day to all day seminars put on by HRPAO which are advertised on the HRPAO website? Are ½ day workshops/seminars put on by the Chapters also excluded from this 10 point limit?

Yes, all day conferences and half day conferences/workshops/seminars put on by Chapters or HRPAO are excluded from this ten point limit. They can be counted over and above the 10 points per year that you can earn by going to Chapter breakfast, lunch or dinner meetings for which you earn 2 points per event.

4. On the Recertification Log in Category A, it refers to Self Directed Learning using examples such as "brown-baggers". It indicates a maximum of 15 points in a 3 year period. What is the breakdown for points per session?

Self-directed learning also includes reading to help you in your job as well as attendance at “Lunch and Learns” and researching topics for your job in H.R. What is not included is reading the HRPAO magazine and HR Strategist or other emails that HRPAO sends out. However, if reading those then leads you to further research a topic for work purposes, that further research can be counted as self-directed learning. You can earn 1 point per activity (i.e 1 point per book read) to a maximum of 15 points per 3 year period; not 15 points per session.

5. Under which Category and item would I log points for development which took place at work such as workshops or other development sessions at which attendance was voluntary so it was outside my normal job responsibilities? Would this be worth 1.5 points per hour as well?

Section A – Seminars/Workshops/Conferences. These would be worth 10 points for a full day, 5 points for a half day and 1.5 points/hour for any event less than half a day.

6. I am a Mentee. To earn points towards recertification, do I have to be involved in a Chapter sponsored Mentoring program or can I earn points even if I have a private arrangement and my Mentor and I have a written agreement. The log does not indicate that it must be a Chapter program but under "21 Ways to Recertify" it does use the example of being part of a Chapter program.

No, you don’t have to be part of an official Chapter program but you should have a written agreement with your Mentor and a log showing the number of hours the two of you spent in the Mentoring process. These documents may be required if you are audited.

7. What other documents should Mentors and Mentees be keeping other than their written agreement and time log?

A written agreement and time log should be sufficient documentation.

8. What is the definition of an all day event to earn 10 points?

Pretty much anything that would involve you returning to the session after lunch. It could be 9-3, 8:30 to 4 etc. It does not have to go until 5 PM to be considered all day.

9. How are people chosen for audit and how are they notified? What is the process if someone is contacted for an audit?

Anyone who is chosen for an audit is chosen at random and will be notified in writing. Auditing takes place on a monthly basis. Each month, 3% of the recertification logs due that month will be randomly chosen. If notified of an audit, you must submit your documents supporting your recertification activities as detailed on the log you submitted and then wait to be called by the audit committee.

10. In what timeframe would I be notified and would an audit take place if I am chosen?

You would be notified within three months after your recertification date.

11. How long must I keep my documentation for recertification once I have submitted the log?

It is strongly recommended that you keep your documentation for 6 months after your recertification date as you may be required to show it to the audit committee.

12. If I use the online log that has just been launched, am I able to save my information to my hard drive so I have a copy or do I lose it all once I submit the log?

Yes you can save it to your hard drive (right click and save as an HTML document) and you can print a copy as well.

13. On the HRPAO website under "How to Determine Your Recertification date", it states:
Recertification is effective for a three year period from the month and year when the member was certified or recertified. Consider the following example to ensure certification remains effective:
• If a member was certified on November 18, 2003, the member’s completed application for recertification must be filed with the HRPAO no later than November 18, 2006.
My profile says I need to recertify by April 28, 2006 and yet the letter I received regarding attaining my CHRP was dated March 1, 2003. Which information do I believe?

Go by the recertification date shown on your profile. The date on your letter was only the date they issued the letter not the beginning of your recertification period. If during your recertification period you take a Maternity Leave of Absence, your recertification date will be extended.

Questions You Asked

1. I am taking a course that starts before my recertification period starts but
ends after is has begun. Can I count this for points?

Yes you can. Record the time spent on this course.

2. Who executes the auditing process?

Auditors are selected from the Professional Standards Committee.

3. My recertification date is in 2008. Do I start my log from 2005?

Yes. You can’t count anything from before the applicable date in 2005 when your recertification period begins.

4. At my company, original receipts must be given to the finance department. What do I do so that I have proof of attendance?

If you can’t keep the original receipt for your records, make a copy and put a notation on it with the reason you only have a copy.

5. Will there be an appeal process if I am audited and disagree with the decisions made by the committee?

Yes. The process followed will be similar to that followed by the original
committee but the appeal committee will be comprised of different people.


6. When I submit my 100 points, if the committee does not agree, then what? Is there an appeal process?

You may be brought in for a meeting. This is a new process so I do not know if you would be able to substitute points. The online log will only let you submit 100 points so it is recommended that you submit only your strongest (least arguable) 100 points. If there is something you think may be contentious, hold back those points and submit something else. It is recommended that you still keep your own log of other points in case there is an opportunity to substitute points should there be questions about what you have submitted.

7. If I earn all my points in one year, do I have to continue to collect points
over the next two years?

No. You will recertify at the end of the three year period even if all the
points were earned in one year. However, it is strongly recommended that you continue to keep track of (log and documentation) any other developmental activities over the next two years even if you do not use them on the log you submit. If you are audited and there are questions about some of the activities you have submitted you may be given the opportunity to substitute other activities (it is unknown at this time if this will be part of the process). Should you have this opportunity, you will also be required to produce the applicable documentation as proof of these activities.


8. What is expected for confirmation of attendance at free sessions since a
receipt would not be provided?

You can use a name tag, handout material, promotional flyer. Anything that
may be given out at the session.


9. I only work part-time so I don’t have as much opportunity/resources to seek
out development opportunities. Is there any allowance made for this in my recertification date?

No. Recertification dates are only prorated for maternity leaves or retired members.


10. Fifty percent of my job is HR and 50% is other. If I go to something for the other part of my job but it also applies to the HR portion, can I earn points from that?

Yes, as long as you can justify it to the committee.

11. If I do some research/reading for self-directed learning, what do I use for documentation to show that this took place?

Make sure you document the source (name of book or article), why you read the article and a brief summary of what you learned.


12. Please review again what I can count under self-directed learning (Cat. A).

Readings to help you in your job or HR related volunteer activities, attendance at lunch and learns, research on the Internet to help you in your job.

13. Does a conference put on by my workplace qualify for points?

Yes. The qualification hinges on whether it has to do with learning and relevance to the job, not who put it on.


14. I shared a badge at the HRPAO conference. How do I count points for that?

Count points for the day you went or if it was a part day, divide the points among those who shared the badge. Obviously, if you shared the badge, not one person should get all the points.

15. I have taken some time off to spend with my children. Does that put me into the retirees category and what happens when I come back? Will I be expected to send in logs for recertification?

Voluntary time off does not change your recertification date. If you are on Maternity leave, however, an adjustment would be made to your recertification date.

16. Would HRPAO consider giving points for a person actually being in an HR position, in other words, performing the HR job?

Just working isn’t enough. A national body, not HRPAO, sets the standards. You can earn points for developing a new process, program etc. in your role as an HR professional.

17. On the Recertification Log under Category C: Instruction, points can be earned for teaching a course for the first time and it mentions that credit will be granted for the first time the course is developed. What if I am teaching a course for the first time but it is a course that is already part of the curriculum? What about each semester if I teach the same course again?

First time for you counts only!

18. I volunteer with a non-profit organization, do I earn points for that?

The position you hold must be in an HR capacity but can be performed for any non-profit agency. If you are there for 1 year you will earn 3 points.
Serving as a board member consulting on HR acumen would count but being a soccer coach does not count.

19. Can I submit my points early if I have all my points before my recertification date (months or years before my recertification date)?

Yes. You can submit your points as soon as you have the 100 points but your next recertification period will not begin until after your original recertification date. Submitting your points early does not mean you move up your recertification date, it simply means you can get that task off your mind.

20. If I submit my points early, does that mean that I am in the audit pool right away?

No, you will not be in the possible audit pool until after your recertification date so you must keep all your documentation until 6 months after your recertification date.

21. Do I earn points if I take courses as part of my job or just to recertify?

Yes but the courses must be HR related.

22. I am chairing an HR committee but it is not for a recognized chapter of HRPAO. Do I still earn points for that?

Yes, as long as the function is HR related.

23. Where can I find the most up to date version of the Recertification Log?

The online version of the log is always the most up to date.

24. What can we provide employers who want us to be certified to understand it is an ongoing process so they can be supportive?

There is information on the HRPAO website regarding Certification and Recertification. You can also ask for a CHRP flyer from HRPAO to give to your employer. The CHRP has only been around for about 15 years (that is relatively new compared to other certifications), so as HR professionals, we must continue to participate in educating our employer and the general public about the designation and the process.

25. What if you can’t remember exact dates for events you attended?

It is important to have exact dates in case you are audited and the event needs to be verified.

26. When the log says for instance, “x” points per year for a particular item, is that calculated on a calendar year or the 12 month cycle determined by my recertification date?

The online log will only let you submit the total number of points allowed for the three year period. I am not sure if it is broken down into yearly segments but I would guess that if it is, it would be based on your recertification date.
